Short answer

Summarize the customer’s question without private details and add your real policy. Ask ChatGPT for a short, polite draft. Review any price, refund, or timing promise before sending it from your own email account.

Before you start

Find the policy or order fact you need to answer. Do not paste an order email with names, addresses, payment details, or order numbers. A general summary is enough for wording help.

1. Summarize the issue

Say what the customer is asking, such as whether a return is possible. Keep the details general. Leave out anything the tool does not need.

2. Supply the rule

Paste the relevant public policy or your checked answer. If you have not decided what to offer, ask for questions to consider rather than a final promise.

3. Ask for a helpful draft

Ask for a greeting, a clear answer, and one next step. Request a kind tone without blaming the customer or admitting facts you have not checked.

4. Check and send

Read each line against your policy and the actual situation. Add personal details only in your email app. You decide what to offer and send.

What the screen might look like

Example screen, described in words: the reply acknowledges the question, states the supplied policy, and offers one next step. Blanks remain for the customer’s name. No email has been sent.
