How do I use ChatGPT to write a service quote email?
Written for small business owners who are brand new to everyday AI.

Decide the service, price, scope, and terms yourself, then ask ChatGPT to put those facts into a clear email. Check every amount and promise. The tool can help with wording, but it should not set your price or terms.
Before you start
Gather the details you have approved: work included, work left out, price, timing, and any next step. Use blanks for the customer’s name and private job details. Do not ask the tool to invent legal terms.
1. State the agreed facts
List what you plan to offer, using your own records. Separate a fixed fact from something still to be confirmed.
2. Explain the limits
Say which work is included and which work is not. Give only prices and dates you are ready to put in the quote.
3. Ask for a clear draft
Request a short opening, a scope list, the price you supplied, and the next step. Tell it to leave unknown fields blank.
4. Approve before sending
Compare the draft with your notes. Check totals yourself and make sure the terms match how your business works. Get suitable advice for terms you are unsure about.
What the screen might look like
Example screen, described in words: an email draft shows “Included,” “Not included,” “Price,” and “Next step.” A date is marked “to confirm.” It is a draft for the owner to approve, not an accepted quote.
A simple example
Copy this request into the chat. Replace the words in [brackets] with your own details before you send it.
Draft a service quote email using only these approved details: [scope, exclusions, price, timing, terms, next step]. Keep the scope and price clear. Use blanks for names. Mark missing details “to confirm.” Do not add discounts, guarantees, legal terms, or work I did not list.
What to look for
- Scope and exclusions match your notes.
- Amounts, totals, and dates are correct.
- The draft adds no new term or promise.
Try this
Make the scope easier to scan. Keep all prices and terms exactly as supplied. Put any unclear point in a question list for me instead of filling it in.
Keep a copy of the checked quote you send. Handle customer acceptance through your normal business process.
Common mistakes
- Asking AI to choose the priceUse your own costs and pricing process.
- Leaving scope vagueName the work included and excluded.
- Accepting invented legal wordingUse approved terms and seek advice when needed.
Questions people ask
Can it calculate the total?
It can help lay out numbers, but check all calculations yourself with your normal tools.
Can I include a customer address?
Leave private job details out of the chat and add them in your own email or quote system.
Can it create contract terms?
This guide uses terms you have already approved. Seek qualified help for legal terms rather than relying on a generated draft.
What if I do not know the date yet?
Ask it to mark the date as to be confirmed. Do not let the draft invent one.
