Reply clearly to a local service customer
Written for small business owners. No AI experience needed.
A quick reply should still be a true reply. Use a general summary of the request and the facts you have checked about your service.
Start here
- Summarize the customer’s question without pasting their private message or address.
- List what you can offer and what still needs checking.
- Read the reply against your real availability and policies before sending.
Three prompts you can use
Copy a prompt into your chat tool and replace the [blanks]. Check each reply before using it.
1. Make a first draft
Draft a friendly reply for my [service business]. Customer question: [general summary]. Checked facts: [policy and availability]. Next step: [step]. Keep it short. Use blanks for names and job details. Do not invent a price, promise, refund, or booking.
2. Make it fit your life
Make the reply warmer without changing the facts. Put the next step in one clear sentence and mark any missing detail for me to confirm.
3. Check before you use it
Check each promise in this draft against the facts I gave you. Flag unsupported dates, amounts, or guarantees. Do not send the message.
Mistake most beginners make
Letting a helpful-sounding reply promise a time you have not checked.
One last check
Add customer details in your own business tools after reviewing the draft. You choose the remedy and send the reply.
